FORMANCE is seeking an ExecutiveAssistant & OfficeManager to support our Chief of Staff and HR Manager in a fast-paced, high-performance environment.
You’ll be the operational backbone supporting leadership and helping scale the company.

What you’ll do
You’ll be the operational backbone supporting leadership and helping scale the company.

ExecutiveAssistant role:
Undertake all administrative and back office tasks (URSSAF, DGIP, OPCO, insurance, visa requests, etc.)
Guarantee all pre-accounting to ensure smooth monthly closing and meet all deadlines (Pennylane, Qonto, AGICAP),
Prepare invoices and oversee supplier and client payments
Organize company events (onsite and offsite) in France and abroad
Manage executive & employees travel, booking flights, hotels, and transfers, while anticipating logistical needs.
Provide day-to-day support on HR-related tasks such as onboardings, offboardings, answer employee’s requests and so on (Payfit)
Help structure internal processes (Drive, Notion) and ensure smooth internal communication
Occasional and ad-hoc support on internal projects (e.g., GDPR, BPI funding files, CIR and CII documentation)
Office Management:
Oversee the smooth running of the offices in Paris, Lyon, NYC and London
Coordinate with HR, operations and suppliers (supplies, budget, maintenance)
Act as key liaison with the executive committee.
Ensure clear and prompt communication, with company executives and follow up appropriately, following processes already in place.
Help cultivate a great workplace culture and contribute to internal events

Must-haves:
Bachelor’s degree (or higher) and 5+ years experience as EA/OM in a scale-up, or high-performing environment (tech, finance, consulting)
Full fluency in English (C1+) and French
Deep familiarity with tools like Google Workspace, Slack, Notion, Pennylane, Qonto, Payfit, AGICAP
Solid financial & HR admin capabilities
Must have knowledge of the SYNTEC collective agreement
Proven ability to multitask, prioritize, and handle sensitive info with discretion
