Position summary The EventsOfficer is responsible for supporting the Events team through strategic planning, logistical coordination, and execution of high-end signature fundraising events hosted by the Foundation.
The EventsOfficer works closely with external partners (sponsors, vendors, venues, catering, A/V, etc.) to effectively drive critical paths, budgets, and deliverables ensuring they meet expectations and deadlines.
Responsibilities Support the development of event-specific strategic planning.
Support the creation of event ideation including event proposals, event briefs, critical paths, work-back schedules, budget planning, and revenue projections.
Manage logistical and other details associated with the planning and execution of successful events, including catering, day-of-event logistics, appropriate donor recognition, donations processing and acknowledgements.
Facilitate contracts and agreements, legal and privacy requirements, and insurance for events.
Provide project management and approval management for the development of all communications as well as print and digital materials to support events including marketing initiatives, stewardship reports, donator communications, invitations, programs, group mailings, sponsorship packages, meeting materials, signage, briefing notes and other correspondence.
Adhere to all applicable licenses and applicable special requirements when required.
Support Events team in managing processes through Foundation technologies.
Collaborate with Finance department to process gifts, invoices, and tax receipting.
Manage and facilitate additional projects and responsibilities as they arise within the assigned development program areas.
Stakeholder engagement Develop strategic touch points for donors to inform them of initiatives that align with their giving such as events, webinars, and clinical breakthroughs.
Ensure all donor touchpoints and moves management actions are captured within the Raiser’s Edge database.
Liaise with assigned event committee volunteers to provide orientation, training, necessary materials, regular updates, financial reports and guidance ensuring a successful event and positive volunteer experience.
Collaborate with campaign directors to communicate relevant event information to program leads at UHN.
Coordinate and effectively engage volunteers in the identification, cultivation, solicitation and stewardship of event sponsors and donors.
Requirements A relevant 4-year degree or, a relevant 3-year degree/diploma combined with a professional certification or, an equivalent combination of formal education and relevant experience.
3-5 years of experience working with senior professional fundraising staff and volunteers.
Proficiency in the full suite of Microsoft Office products and internet tools.
Familiarity with and aptitude for Raiser’s Edge required.
Member in good standing of CAGP, AFP or AHP is an asset.
Work Environment Regular business hours, with occasional weekend and evenings required.
Fast pace, service and results oriented environment. May have some activity outside of the office to support meetings with volunteers and sponsors.
The Foundation has a hybrid work model.
Staff will be required to have a safe home office set-up (specifics to be planned with your manager.) Ability to work cooperatively with colleagues in all positions throughout the Foundation.
