COMMODITY COORDINATOR
- Olympic Games Job Description:

We are seeking an experienced, methodical, and organized administrative assistant with a keen interest in events to join our team in Paris for the 2024 Olympic and Paralympic Games.

The team is highly active, and the project coordinator will be at the heart of the action, ensuring seamless liaison and coordination with the operations team, suppliers, stakeholders, and, when applicable, clients.

Fueled by a strong team spirit, our project coordinators play a vital role in delivering our clients' projects.

Responsibilities:

· Provide reliable and efficient support to the team on all aspects of project delivery.

· Ensure project tracking and verify that it progresses according to the scheduled timeline.

· Coordinate with the organizing committee, if necessary, with a focus on organizing received documentation.

· Share and gather information for the team, including meeting preparation, online meetings, and coordination with new partners.

· Update and maintain project-related information and documentation, draft, structure, and circulate relevant documents.

· Manage project-specific systems, including our SharePoint database.

Develop and maintain project databases to track overall progress and key milestone achievements.

· Perform various administrative and logistical tasks such as booking meeting rooms, welcoming visitors, planning travel and accommodations, and handling email and phone correspondence.

· Schedule internal meetings and meetings with external stakeholders/suppliers, create agendas, take meeting notes, prepare minutes, and distribute them to all participants.

· Work closely with the internal team to order office supplies, including stationery and computer equipment, and implement/maintain office administrative systems.

· Coordinate accreditation requirements for the team and suppliers.

Work with the organizing committee as the main point of contact for this aspect of work.

· Any other relevant tasks as per the team's needs.

Skills and Experience Required:

· Experience in administration, preferably in the events, construction, or sports sector.

· Strong computer skills, including proficiency in Microsoft Office, especially Excel.

· Strong communication skills, both oral and written, in French and English.

· Knowledge of the local events industry and relevant authorities is desirable.

· Proven ability to multitask and manage workload and concurrent priorities effectively.
