Our client deliver apprenticeships from levels 4-7, specialising in Business, Leadership and Management.
The successful candidate will work in a central Apprenticeships team which is a busy and fast-paced environment where we are continuously striving for improvement against our compliance goals.
The team is also going through a significant change period, with new systems being introduced and more robust processes being developed to ensure that we meet our goals.
We are looking for someone with proven experience of the Education & Skills Funding Agency (ESFA) and Ofsted and good knowledge of the Individualised Learner Return (ILR) and the Digital Apprenticeship Service (DAS) process.
This is a new role and the candidate will have a great opportunity to develop the role and processes that surround their areas of responsibility.
The candidate will have excellent attention to detail and interpersonal skills and will strive to provide a comprehensive and customer focused service for internal and external clients in relation to apprenticeship learner data including developing internal reporting and working with the Finance Team.
* Responsible for the collation and preparation of apprenticeship data to ensure accurate monthly submissions of the ILR to the ESFA * Maintaining the apprenticeship service account to ensure it accurately reflects the status of the ILR and both systems accurately reflect each other * Data management responsibilities which include analysing, monitoring and validating apprentice data to ensure accurate ILR submissions are returned, including regularly reviewing data validation reports from the ILR and PDSAT, in line with corresponding data systems, RO deadlines, Digital Apprenticeship Service.
* Liaise with external bodies and agencies regarding the submission of the ILR and the management of the DAS.
* Ensure student record systems (Salesforce), the DAS and other apprenticeship management systems are kept up to date in a timely manner to represent changes in circumstance for apprentices in time for inclusion in the ILR.
* Working closely with apprentices and employers when updates are required and especially during the process of apprentices transferring to new employers * Maintain understanding of apprenticeship funding rules as they relate to the ILR, funding and starters, leavers and achievers, break in learnings.
* Understand the impact of changes to funding rules on the ILR and advise members of the team, suggesting appropriate action where necessary.
* Keep abreast of external bodies changing requirements and disseminate information as required * Be prepared to respond to and help manage an ESFA audit, providing early warning of areas of risk and recommendations for improvement, including helping to run mock audits * Provide ad-hoc reports as required to provide validation of data held on the Ashridge's internal systems * Work with the Finance Team to process additional employer payments and any other apprenticeship-related financials as instructed * Review current processes and work with cross-functional colleagues to further develop processes to capture changes in apprentice records and strategies to improve the quality of data held.
* Work closely with Admissions to ensure that eligibility criteria is met by all apprentices, evidence packs are complete, that gaps are identified and escalated and chased and that new intakes and returning apprentices are set up correctly and accurately * Provide support to SLT with comprehensive reports on learner and funding data on a monthly basis and as required * Support in the implementation of a new Learner Management System (if procured) and become a systems champion * Attend training and development activities as appropriate, including training in the use of any bespoke systems and software for apprenticeships * Support the wider Apprenticeships team and ensuring that a positive and professional culture is operating.
* Work flexibly by supporting colleagues within the Apprenticeships team as needed by undertaking other such duties as may from time to time be determined by the Head of Compliance & Performance - Apprenticeships for example at peak times.
Person Description * Degree level or equivalent experience in a higher and degree level apprenticeship environment * Experience of apprenticeship funding and compliance, the ILR and the DAS * Experience of the Higher Education sector is preferred * Familiar with offline tools that enable the checking of data against validation rules (e.g PDSAT) * Understanding the ILR and DAS processes and ability to resolve data issues in a timely manner * Experience of working with online learner management systems, SIS, portals and ePortfolios, MS Office * Highly organized, plans ahead, is focused showing an attention to detail.
* Proactive, logical, completing tasks at pace and with high order accuracy skills * Good communication skills, confident in environments where talking in front of apprentices and employers leads to positive outcomes.
