The role:

Driver Group Plc are seeking to appoint an experienced and dedicated Office Manager to provide high-quality administrative support to our teams in the North West, North East and Scotland office.

The position will initially be based at our office in Haslingden, Lancashire and relocate to the new office in Blackburn in the summer of 2023.

The suitable candidate must own a vehicle as well as a full, clean driving license and must be willing to drive during working hours between our two North West offices.

Key duties will include:

INVOICING:

Deal fully with setting up all new project requests including using both our marketing system (ACT) and our invoicing system (Microsoft D365) and ensuring all paperwork is in place for audits.

Weekly chasing of timesheet completion for all northern staff.

Midmonth billing where possible.

End of month invoicing – invoices to be produced in accordance with finance timetable (earlier if possible).

Assistance to any fee earners with D365 completion of expenses as required.

Answering and dealing with financial queries from consultants and finance.

Completion of post invoice paperwork.

SECRETARIAL:

Booking any required travel by UK Northern staff using travel agency.

Stationery orders – ensuring that we have evidence of best prices by comparison with Amazon and at least one other supplier.

Drafting new starter’s CVs.

Ensuring latest CVs for the Northern team are on the intranet.

Formatting of word reports using styles and auto numbering as required.

Proofing reports as required.

Formatting of and spreadsheet work.

H&S:

Monthly staff H&S declaration – compile results for the Global Head of Business Support.

First aid box – monthly review.

Workstation assessments.

Haslingden / new office organisation of PAT testing and other similar H&S requirements.

SEMINARS:

All work associated with free breakfast briefings (twice yearly) including:

1.Ensure best rates for hotel booking and issue all paperwork.

2.Dealing with bookings and updating CRM.

3.Attending local events to manage reception.

4.Dealing with feedback forms and sending out CPD certs.

5.Updating CRM for attendees.

All work associated with other seminars including:

1.Production of course notes and other documents including organisation of couriers/delivery of notes locally in the North West.

2.Dealing with feedback forms and sending out CPD certs.

3.Updating CRM for attendees.

MARKETING:

Keep CRM up to date with new opportunities, meetings, new contacts, seminar information and proposals.

Keep proposals register up to date.

Run Barbour reports when requested.

Run CRM reports when requested.

Mid-month email to all NW staff for forthcoming events.

AUDIT:

Assistance as required to ensure we meet all audit requirements (electronic job files).

Required skills and experience:

Minimum of 5 years’ experience in a similar role.

Excellent command of English language (both written and spoken).

Excellent working knowledge of Microsoft Office programs.

Competent user of Adobe, PowerPoint, and Visio.

Strong communication and interpersonal skills.

Clear, structured, and focused working manner.

Very good attention to detail.

Confidence in financial reporting (i.e.

budgets, accounts, sales) Flexibility to travel.

Full, clean driving license and ability to drive between the North West offices and other North West locations during working hours.

ADDITIONAL INFORMATION:

You will be required to occasionally work from the other office in the North West, and on occasion be willing to start early or finish late as and when necessary.
